ERCIM News is the magazine of ERCIM. It reports on joint actions of the ERCIM partners, and aims to reflect the contribution made by ERCIM to the European Community in Information Technology. Through short articles and news items, it provides a forum for the exchange of information between the institutes and also with the wider scientific community. Each issue focuses on a special theme identified by the editorial board. ERCIM News is published quarterly in print, and online in html, pdf and epub format. ERCIM News currently maintains a circulation of 6,000 printed copies and more than 8,200 people subscribed to the online edition.

Responsibilities of authors

ERCIM News articles are brief descriptions of scientific activities, projects, research results, technical transfer endeavours, etc. By submitting a contribution to ERCIM News, the author(s) declare that its publication in ERCIM News does not infringe copyright in the case that an article about the described work has been published previously or is currently being considered for publication elsewhere. They also declare that the sources of any ideas and/or words in the manuscript that are not their own have been properly attributed through appropriate citations according to the Guidelines for Contributions.

Where articles report on commercial software, hardware, or other products, authors declare that no conflict of interest exists. Support for this kind of research should be mentioned in the article.

The author(s) agree that if the article is accepted for publication in ERCIM News, the published article will be published with an Open Access - Creative Commons license (CC-BY). This means that the author(s) retain the copyright, but also allows others to freely copy, distribute, and display the articles under the condition that the original authors and source are cited.

Authors are responsible for obtaining permission to include any images or artwork for which they do not hold copyright in their articles or to adapt any such images or artwork for inclusion in their articles.

The number of authors is limited by the article guidelines for ERCIM News. Only those individuals who have made a significant contribution to the article should be listed as authors. The corresponding author must ensure that all appropriate co-authors have seen and approved the final version of the article and agreed to its publication.

Where an author discovers a significant error or inaccuracy in an article of his/hers that has been published in ERCIM News, he/she has an obligation to promptly notify the editors to correct the article as appropriate.

Responsibilities of reviewers

Articles of the special theme section are reviewed by at least two invited expert guest editors.

They can themselves assign additional reviewers, especially if at any stage they feel that they do not have the required expertise to perform the review, or that they may have a potential conflict of interest in performing the review (e.g., one resulting from competitive, collaborative, or other relationships or connections with any of the authors, institutions, or companies associated with the manuscript).

When conducting their reviews, reviewers are asked to do so as objectively as possible, refraining from engaging in personal criticism of the author(s). They are encouraged to express their views clearly, explaining and justifying all recommendations made. They should always attempt to provide detailed and constructive feedback to assist the author(s) in improving their work, even if the article is, in their opinion, not publishable.

Responsibilities of editors

The ERCIM News editors (editorial board) have the final responsibility for deciding if an article submitted to ERCIM News should be published.

The editors will evaluate articles for their intellectual content without regard to the race, colour, gender, sexual orientation, religious beliefs, ethnic origin, citizenship, or political philosophy of the author(s). They will not disclose any information about an article under consideration to anyone other than the author(s), reviewers and potential reviewers, and to some extent to the other editorial board members and the members of the publisher ERCIM EEIG, as appropriate.

ERCIM News welcomes the submission of articles mainly from Europe. ERCIM News cares that research reported in the articles conforms to European ethical standards and legislation. In the case of doubt, editors may need to seek clarification with the author(s) and request that they supply a letter from the relevant institutional ethics committee or board that approved the research.
